Service Request Status

You can remove an asset from service, return an asset to service, activate, or deactivate an asset from service.

ClosedRemove Asset from Service

Changing the In Service check box on the Asset Details page allows you to indicate an asset has been removed from service.

  1. Navigate to the Details tab of the asset.

  2. Clear the In-Service check box in the upper-right corner.

    The Asset Status Change dialog box appears, prompting you to enter additional details about the removal from service.

  3. Modify the Shutdown Date/Time field if necessary.

  4. Enter any descriptive information in the Reason for Shutdown/Downtime field.

  5. Click Apply.

    The asset is removed from service. The record will remain editable so that you can modify additional parameters as defined.

  6. To provide additional descriptive information on the reason for the removal from service, enter a value in the Sub-Status field.

    You can use the Sub-Status lookup to select a value.

  7. If the asset should not be available for service requests, clear the Available for Service Requests check box.

    Indicating this asset is unavailable for service requests renders all assets below this branch of the Asset List unavailable.

  8. Click Save.

     

ClosedReturn Asset to Service

Assets that are currently out of service can be returned to service from multiple locations in the application. The asset can be returned to service from the Asset Details tab, the Work Order Details tab, or the Complete/Close dialog box.

Returning an asset to service can affect the PM Schedules tied to the asset, depending on the length of downtime. To assist with managing this process, a warning may display if an asset returning to service may require adjustments to the PM Asset Schedule. This warning displays when the asset is returned to service. This allows you to change affected PM Asset Schedules prior to nightly PM Generation. Your system configuration determines whether and when a warning should display.

Return an asset to service that has previously been removed from service:

  1. Navigate to the Details tab of the asset.

    Alternatively, this process can be invoked from the Work Order Details tab or Complete/Close dialog box.

  2. Select the In-Service check box in the upper-right corner of the page.

    The Asset Status Change dialog box appears, prompting you to enter additional details about the return to service. The downtime is automatically calculated based on the dates removed and returned to service.

  3. Modify the In-Service Date/Time field if necessary.

  4. Modify the calculated downtime fields if required.

    If the dates for Shutdown or Return to Service fields are changed after accessing this dialog box, the downtime will not automatically recalculate. You must enter the correct downtime.

  5. Enter any descriptive information in the text box provided.

  6. Click Apply.

    You may receive a warning, indicating that the downtime recorded may impact PM Schedules for the asset. This warning only displays if your organization is configured to provide a warning. In addition, the asset must be tied to date based PM Schedules and the downtime must exceed the defined threshold for the warning.

  7. Review the next schedule dates shown to determine if any adjustments are necessary.

    Pay particular attention to dates shown in the past, as this could be an indication that unwanted work orders may generate during the nightly PM Generation process.

    If you have access to the pages on which PM Asset Schedules are set, it is recommended that you use the available Set Next feature to modify the schedule.

    If you do not have access to the pages on which PM Asset Schedules can be set, you can use the link provided to initiate an email to a supervisor warning them that the schedule should be reviewed prior to the nightly PM Generation process. This link can also be used to send a reminder email to yourself to check the schedule later in the day!

    The asset is returned to service. The record will remain editable so that you can modify additional parameters as needed.

  8. Modify the value in the Sub-Status field if necessary.

  9. If the asset should be available for service requests, select the Available for Service Requests check box.

    Indicating this asset is unavailable for service requests renders all assets below this branch of the Asset List unavailable.

  10. Click Save.

     

ClosedEnable/Disable from Service Requests

A check box is available on the Asset Details tab to indicate whether an asset is available for service. The Available for Service Requests indicator determines whether or not the asset is available in the Service Requester. Indicating that an asset is unavailable for service requests renders all assets below the currently selected branch of the Asset List unavailable.

To enable/disable an asset from service requests:

  1. Navigate to the Details tab of the asset.

  2. Choose between two options:

    • Make the asset unavailable for service:

      1. Clear the Available for Service check box.

      2. Ensure the check mark is not displayed.

    • Make an asset available for service:

      1. Select the Available for Service check box.

      2. Ensure a check mark is displayed.

  3. Click Save.
