The following sections provide answers to common questions about the Asset module.

ClosedHow do I save the work order history for an asset that is no longer in service?

When an asset is no longer used in your organization, you might not want to see it in the active Asset Tree. However, rather than permanently delete the asset, you can move the asset to an Inactive node of the tree to retain the asset history. In most organizations, a node is created at the bottom of the tree for Unused Items.

ClosedHow do I change the picture that is displayed for an asset on work orders?

The photo displayed on the Assets Details page is the one found on the Work Orders Details page and the Assignment Calendar. The photo can be associated with the specific asset or an entire classification of assets. If a photo is stored with an Asset Classification, that photo is automatically placed on the Details page for each new asset created from this classification. However, an alternate picture can be used with a particular asset by changing the photo displayed on the Asset Details page.

ClosedHow can I ensure that a particular labor resource or contractor is automatically assigned to work on an asset?

Labor Resources associated with a particular asset on the Labor/Contacts page can be auto-assigned to each newly generated work order ensuring that individuals with particular expertise are assigned. Auto-assignments automatically propagate to all child assets that do not have their own auto-assignment specified.

ClosedWhy would an asset not show up in the Service Requester?

The Asset Details tab includes an Available for Service Requests that controls whether the asset is available in the Service Requester. This setting applies to the selected asset and all child assets.

Enable/disable an asset from service requests:

  1. Open the Details tab for the asset.

  2. Select the Available for Service Requests check box to make the asset available for service; clear the check box to make it unavailable.

  3. Click the Save button.

ClosedWhy doesn’t the Asset ID display in the Asset Tree?

If the asset is designated with a type of location, the asset name appears in the asset tree, not the asset ID. Also, if the asset is a rotating asset, the inventory item and serial number are displayed.

ClosedWhy is data already filled in for a newly created asset?

When an asset is created, some the fields on the Asset Details page (and associated pages/tabs) may be automatically populated by values stored as part of the asset classification. For example, the asset name, type and model information, and asset photo are typically automatically populated. Other information such as the estimated parts and automatic labor assignments may be inherited from the asset classification as well.

In some cases, these fields can be overwritten with unique values for the particular asset. However, for some assets these fields may be locked (uneditable). For more information, see Classifications.

ClosedWhy are some fields on the Asset Details page not editable?

Some fields displayed on the Asset Details page (and sub-tabs) are automatically populated from the associated Asset Classification record.
